📘 Overview
WAGHL brings WhatsApp Group messages into your GHL Conversations panel. The same automation tools you use for 1-on-1 chats now work on group conversations: respond to queries, monitor activity, route messages to specific team members, and trigger workflows from group chats.
Every WhatsApp group your number is in feeds messages directly into your GHL Conversations panel — automate replies, route to teams, trigger workflows, all from group chat.
🚀 How to sync & use groups
Getting your groups into GHL takes one sync. After that they behave like any other contact — you can message them and use them in workflows.
Open your WhatsApp connection
In the WAGHL panel, open WhatsApp Connection for your connected number. If you haven't synced yet, the groups panel shows "No groups found. Click Sync to fetch from WhatsApp."
Click Sync
Hit Sync to pull in your groups. Every group your number is in is fetched — the list fills with each group's name and member count.
Groups become GHL contacts
Each synced group appears in Contacts as a contact named "Group name - WA Group" and tagged wa group. That's how you tell groups apart from individual contacts and target them in bulk actions or filters.
Message a group
Open the group contact and Start a New Conversation, or reply from your Conversations inbox. A message you send to a WA Group contact goes to the whole group — every member receives it, just like sending from WhatsApp directly.
Use groups in workflows
Because groups are contacts, they work in GHL Workflows — trigger on group messages, auto-respond, route to a team member, or fire a follow-up. Build the workflow exactly as you would for a normal contact, using the wa group tag to target groups.
🧠 Use cases
- Auto-respond to queries in WhatsApp groups (FAQs, link requests, basic info)
- Route group messages to specific team members based on keywords or sender
- Notify sales/CS teams when something important happens in a group
- Trigger follow-up automations — e.g. someone in your community group asks about pricing → auto-send the pricing page
❓ Frequently asked
Can I use the same number for multiple groups?
Yes. The same WhatsApp number can monitor multiple groups at the same time — there's no limit on how many groups one number can sit in.
Do I need to be an admin of the group?
No. The WAGHL number just needs to be a member of the group to receive messages and trigger automations.
Can I track media messages like images or videos?
Yes — media messages (photos, videos, voice notes, documents) are fully supported and can be routed through workflows like any other WhatsApp message.
What happens if the number is removed from the group?
It stops receiving group messages, and any group-based automations stop firing for that group until the number is re-added.
To get started, simply ensure your WAGHL-connected WhatsApp number is added to the group (as a regular member). Group messages will start flowing into your GHL Conversations panel within a few minutes — no extra configuration needed.
Automation ideas to try
Once group messages are in GHL, you can build workflows like:
- Keyword auto-replies — anyone in the group says "pricing" → send pricing page link
- Sentiment alerts — message contains "frustrated" or "issue" → ping support team via internal notification
- Lead capture — new member joins community group → tag them in GHL and trigger welcome sequence
- Daily digest — summarise yesterday's group activity and send to team Slack/email
What's next?
- ChatGPT integration — auto-answer questions in groups with AI
- Build a WhatsApp chatbot — interactive menus inside groups
- Internal notifications — alert your team about group activity
