Three deployment modes

WAGHL ships with three different ways to deploy WhatsApp numbers — each suited to a different team setup:

Three deployment modes — pick whichever fits your team. Single is the default; Unlimited and Team unlock multi-user setups.

1. Single WhatsApp [default]

Out of the box, you can connect one WhatsApp number per sub-account. Zero configuration — works as soon as you register. Perfect for solo founders and single-channel businesses.

2. Unlimited WhatsApp

Connect multiple WhatsApp numbers within one sub-account, where each user has their own number. Each user logs in with their GoHighLevel credentials and scans their personal WhatsApp number. Messages are routed to and from that user's number specifically.

Ideal when customers are assigned to specific agents — every interaction comes from the assigned agent's own number, keeping conversations personal.

3. Team WhatsApp

Multiple users share a single WhatsApp number. You can also create multiple teams, each with their own shared number.

Example: a sales team of three uses one shared WhatsApp line — each member logs in with their own GHL credentials but customer conversations flow through the team's single number. The admin sees all conversations across the team.

When to use which

Single — solo operator, default mode. Unlimited — your team needs personal numbers per agent. Team — multiple users need to share one shared inbox/number.

How to enable multi-number

The tutorial video above walks through the whole thing. Here's the full step-by-step — connect numbers, assign users, and route each team's messages through its own WhatsApp number, all from a single sub-account.

Open your sub-account

Go to the Sub-accounts section from the left navigation bar.

Connect WhatsApp (new accounts)

If this account has never been connected to WhatsApp, click the QR code icon, select your country, and hit Generate QR Code. Scan it with your phone to connect.

Check an already-connected number

If the account is already connected, click the view icon to see the number and its status. Connected or disconnected is fine — as long as it's been connected at least once.

Add another number

Click Add Number. This creates a new device on your sub-account.

Activate the new device

Toggle the new device to Yes under Use Device to activate it.

Teams & members appear

Once a device is active you'll see Teams and Members sections. On the base plan you can add up to three devices at no extra charge.

Assign GHL users to each number

Link team members from GHL to each WhatsApp number — for example marketing to one number, sales to another, support to a third.

Messages route automatically

Now when an assigned user messages a contact, it always sends from their linked WhatsApp number.

Switch the sending number

To change which number a message goes out from, change the assigned user in the conversation.

Share a number across users

To let several users message from the same WhatsApp number, assign more users to that team.

Every messaged contact needs an assigned user If a user isn't assigned to any WhatsApp number, their messages fail with an error. Always assign a WhatsApp-connected user to every contact you message.

Add the fourth number

Adding a fourth number is the same process — click Add Number and the device is created.

Pay the prorated charge

Because this number is beyond the three included in your base plan, a prorated payment applies (a flat $10/month per extra number — see Pricing). Once payment completes, the device activates and you can assign team members to it.

Disabling or removing numbers

Deactivate the extra device

To turn off multi-user, set Use Device to No on the extra devices. This also updates your subscription, so you're not charged for devices you're not using.

Delete it

Once a device is disabled, a Delete option appears. Delete any device you no longer want.

With the extra devices removed you're back to a single number — every message goes out from that one connected number, whichever user is assigned.

If you're using the multi-user feature, you'll need a different custom menu link than the default. The exact link depends on your WhatsApp Gateway.

To find which gateway your sub-account uses: Settings → Phone Numbers → Advanced Setting.

Limited availability

If you don't see the multi-user option in your WAGHL admin panel, the feature isn't yet rolled out for your account. Message us on WhatsApp to request activation.

Pricing & subscriptions

You're billed per subscription. One subscription covers up to 3 WhatsApp numbers. Need more? Every number beyond the first 3 is a flat $10/month, and you can keep adding numbers with no limit.

Pricing plans

  • $29/month per subscription — covers up to 3 numbers. Applies if you have 10 or fewer subscriptions.
  • $19/month per subscription — same 3 numbers, lower rate. Kicks in automatically once you have more than 10 paid subscriptions.
  • $10/month per extra number — flat rate for each number beyond 3 on a subscription. No limit on how many you add.

Worked examples

  • 3 numbers — 1 subscription = $29/month
  • 5 numbers — 1 subscription ($29) + 2 extra numbers ($20) = $49/month
  • 10 numbers — 1 subscription ($29) + 7 extra numbers ($70) = $99/month
  • 12 subscriptions (e.g. 12 GHL sub-accounts) — over the 10-subscription mark, so every subscription drops to $19: 12 × $19 = $228/month (it would have been 12 × $29 = $348 at the standard rate). Any extra numbers are still $10 each on top.
The $19 rate is about subscriptions, not numbers Once you hold more than 10 subscriptions — for example across many GHL sub-accounts — the lower rate applies to all of them, not just the ones past 10. Extra numbers stay a flat $10 each regardless of your volume.

The pricing tier upgrades automatically — no need to contact support to switch plans.

Trial period for multi-user

The multi-user trial aligns with your overall account trial:

  • Activated on Day 1 — full 14-day trial
  • Activated mid-trial — trial for the remaining days. (Activated on day 5? You get 9 days.)
  • Activated on a paid account — 1-day trial. After 24 hours, a payment link is sent.

Are there any limits?

None on our side. You can connect unlimited WhatsApp numbers within a single sub-account.
